Manifest
Build the manifest before asking for an offer

Give each movement a date, local pickup time, passenger group, bags and complete addresses. Identify airport arrivals, hotel departures and evening returns individually, and send the manifest in the request notes or to bookings@artisanlimo.com.
Include the permitted gate or loading entrance and onsite contact. Large venues can have several different pickup zones; the venue name alone does not establish where a vehicle can stop.
Dates and transfers
Every arrival, venue run, dinner transfer and departure, with the date of each.
Pickup and drop-off points
Hotel and venue addresses with the specific entrance, gate or loading point.
Departure groups
How many guests travel together on each transfer, and where each group is going.
Arrival flights

For airport groups, compare luggage space before choosing a larger seating layout. Jet and Limo Sprinters accommodate only four to six bags at most; the written offer confirms the actual capacity for every group vehicle.
State any necessary cabin features in the request and check them in the offer. For motorcoaches, ask about the assigned operator information recommended by FMCSA, including authority, safety history and insurance.

Obtain permitted loading instructions from the hotel, venue or organizer for each vehicle type. Add the entrance and onsite contact to the request; a booking does not authorize access to a restricted drive or loading dock.
Plan a time and passenger group for each vehicle, with staggered departures where curb space is limited. For a continuous shuttle, describe the service hours, expected rider volume and final departure; a single transfer does not create a shuttle loop.
Include a possible event finish range if the return time may move. Approved extra sedan or SUV hourly time is billed in 30-minute blocks. Group offers state their own waiting and extension terms.

Explain wheelchair or mobility-device needs for each affected movement before accepting a vehicle. Accessible arrangements require advance notice and availability confirmation; service animals are welcome.
For charter-style over-the-road buses, federal rules permit up to 48 hours of advance notice for an accessible bus. Confirm the vehicle equipment and venue boarding point separately.
Changes and cancellation

Group programs and other large or event bookings require at least seven days before the first scheduled pickup for a full refund. Inside the window, refunds are discretionary. Different terms apply only when disclosed and accepted in writing before payment; peak dates alone do not alter the window.
Report changes to guest numbers, timing, stops or vehicle needs promptly so availability can be reviewed. A late change may require cancellation and rebooking. Accept any revised price in writing. The cancellation policy provides a full refund if severe weather or an emergency makes the journey impossible.

Mini Coaches are planned for up to 24 and Motorcoaches up to 56. The written offer identifies the actual vehicle and approved capacity.
How many bags fit in a Sprinter?
A Jet or Limo Sprinter has space for only 4–6 bags at most, with the actual limit dependent on the cabin. For an Executive Sprinter or Mercedes passenger van, submit the luggage count and dimensions so fit can be confirmed in the written vehicle proposal.
How far ahead should I book event transportation?
Send the request once the schedule and passenger movements are known. The online form indicates when a pickup is too soon for intake; call (888) 885-1296 about urgent arrangements. An accessible motorcoach may require up to 48 hours' advance notice.

Can you run continuous loops between the hotel and venue?
Include any repeated hotel–venue route in the request, with operating hours, stops, likely passenger numbers and final departure. A shuttle exists only when the accepted written offer specifies its vehicles and service window. Booking one transfer does not reserve continuous loops.
What happens if the event runs late?
Contact Artisan before the reserved window expires to request additional service. Approved sedan and SUV extensions use 30-minute billing blocks; group vehicles follow their written terms. If the event's finish is uncertain, describe the expected return window when planning the offer.

How do cancellations work for event bookings?
Confirmed event bookings qualify for a full refund with at least seven days' notice before the first pickup. Refunds inside that window are discretionary. A different cancellation arrangement applies only when stated in the written offer you accepted.

Identify any essential cabin equipment in your request and check the vehicle proposal for it. The accepted written offer must specify the features being arranged; a vehicle class by itself does not confirm every amenity.
