  • The accepted trip price includes required trip costs. Gratuity is optional; requested extras are shown separately. Approved itinerary changes and excess waiting may add to the total.
  • 3-hour minimum for nationally priced hourly sedans and SUVs. The form accepts 3–12 whole hours; contact Artisan for a longer or multi-day program. Approved extra hours use the same class rate in 30-minute blocks.
  • Sprinters, Mercedes passenger vans, Mini Coaches and Motorcoaches use an accepted written offer. Available online group classes request that offer through the same booking form; contact Artisan for a configuration or multi-vehicle arrangement that the form does not list.

Start with the guests, not the number of cars

List each traveling group, pickup address, required venue arrival, passenger count, bags and return destination. Guests arriving at different airports or staying in different hotels can need separate movements even when they attend the same event.

Separate an executive or speaker car from a hotel shuttle, wedding-party vehicle or late departure. The movement list makes it possible to review whether one retained vehicle, several transfers or a larger group vehicle suits the program. One car request does not automatically schedule a full guest transport service.

    Party counts, guest arrivals, venue access and the actual finish time.

    Permitted loading point, security restrictions, contact and departure waves.

Match vehicles to the manifest and luggage

A group vehicle's seating layout and luggage space are both important. Executive, Jet and Limo Sprinters and regular Mercedes passenger vans are different configurations. Jet and Limo Sprinters carry only four to six bags at most, depending on layout and size; a full passenger load with airport cases may need another arrangement.

Mini Coaches and Motorcoaches can be requested by quote in the same booking form. State the passengers on each leg, mobility requirements, equipment and child-restraint needs. A maximum seat count does not confirm a luggage load, an accessible configuration or that every vehicle can use the venue's approach.

Agree the actual guest entrance and vehicle staging

Confirm the loading area with the venue or organizer. A street address is not always the guest entrance, coach entrance or permitted pickup location. Include passes, permits, security checks, loading limits and restrictions the venue communicates for the service date.

If vehicles cannot remain near the entrance, agree how the group contact will report that guests are ready and where the vehicle can return. Onsite staff, signage and a dedicated dispatcher are requirements to request and confirm; they are not automatically included with every car or van.

Make the return plan as clear as the arrival

Decide whether the party leaves together or in waves. Name the meeting point, group lead, expected guest-ready time, passenger count and destinations for each departure. A packed venue ending at one time can make an informal 'meet outside' plan difficult to use.

A return transfer is separately scheduled. To retain a vehicle during the event, request reserved hours and review the itinerary. If the event overruns, ask about additional time and availability before assuming the vehicle can stay; group-vehicle extension terms are identified in its written offer.

Review the whole program before accepting it

Submit an individual sedan, SUV or available group class through the booking form. Contact Artisan with the complete manifest and schedule for several vehicles, configuration requests or arrangements the form cannot describe. State the person authorized to approve service and price changes.

Review vehicle quantities, each movement, staffing actually included, payment timing, waiting and cancellation terms before acceptance. Standard large and event bookings require at least seven days' notice before the first pickup for a full refund; inside that window a refund may be partial or zero. An inquiry is not a confirmed transport program.

What details do you need for an event transportation plan?

Provide dates, guest groups, passengers per movement, pickup and destination addresses, required arrivals, departures, bags, venue loading instructions and the organizer who can approve changes. Include staffing and accessibility requirements before acceptance.

Should my group use one van or several cars?

Choose from the actual party, bags, meeting times and destinations. A van can suit people moving together; separate vehicles can suit conflicting arrivals, different destinations or a luggage load that will not fit one cabin. The configuration and availability need confirmation.

Can you run a hotel-to-venue shuttle?

Ask Artisan to review the hotel stops, guest counts, proposed waves, venue approach and service window. A repeating shuttle program must be expressly confirmed; it is not created by submitting one transfer request.

Does a booking include an onsite event coordinator?

Not automatically. Describe the staff, signage or dedicated coordination you need. The accepted program must identify any such arrangement and its terms.

What happens if our event ends late?

Contact Artisan before the agreed service ends. Added time depends on availability and the accepted extension terms; disclose and approve the additional service or price before it is provided.

How are group and coach fares confirmed?

Available group classes request a reviewed quote through the same booking form. The offer identifies the vehicle arrangement, itinerary, price and applicable payment terms. A quote request alone does not reserve a vehicle.
