A suitable vehicle starts with an accurate request. Explain passenger numbers, luggage, child restraints and boarding needs before accepting the arrangement. Independent, licensed local operators provide each vehicle and chauffeur; Artisan can provide available insurance information for the operator assigned to your itinerary.

Licensing and insurance

Licensing and insurance: what to ask and who sets the rules

Operating requirements depend on the journey and jurisdiction. Westchester County Airport, for example, publishes local taxi and limousine licensing information. Artisan arranges each ride with an independent, licensed local operator.

FMCSA recommends checking authority, safety records, licensing and insurance when selecting a bus company. Ask Artisan for available information about the operator proposed for your motorcoach itinerary.

Insurance coverage and limits depend on the applicable policy. Request information for the assigned operator and journey rather than assuming a website-wide coverage amount.

Seats and luggage

Passenger and luggage limits by vehicle class

Confirm a seat and safe luggage space for everyone. Passenger numbers must remain within the actual vehicle capacity, luggage must fit, and seat belts are required where available under the terms.

Give advance notice of golf bags, skis, bicycles and other oversized items. Smoking and vaping are prohibited, as are hazardous materials. Unsafe conditions or misconduct can result in service being declined or ended.

Child seats

Child seats follow the law where you travel

Request child seats in an SUV in advance, subject to availability. Up to two infant, convertible or booster seats can be requested in any combination. You may bring your own at no charge; select that option so installation time can be planned.

Provide age, weight and height and follow the laws where the ride occurs and the seat manufacturer limits. The parent or guardian must check the restraint. A chauffeur may delay or decline the journey if a child cannot be safely secured.

Describe mobility equipment and boarding requirements before accepting the arrangement. Accessible vehicles depend on availability and advance notice. Service animals are welcome.

For charter-style over-the-road buses, federal rules permit up to 48 hours of notice to provide an accessible bus. Raise this need when the motorcoach request is first discussed.

Aviation facilities and venues decide where vehicles may enter and stop. TSA recommends security procedures for third-party ramp vehicles; a reservation does not itself permit ramp access. Follow the facility and confirmed meeting instructions.

Before you ride

What to share before the trip and check on the day

Check these details in the request and in the confirmation. Tell Artisan about missing or changed information before pickup.

  1. Every traveler and bag

    The real passenger count, suitcase sizes, carry-ons and any equipment, so the vehicle class fits without crowding.

  2. Children and mobility needs

    Ages, weights and heights for child seats, plus wheelchairs, walkers or a service animal.

  3. Accurate flight details

    Airline, flight number and arrival airport and terminal, so pickup timing can follow the actual arrival.

  4. A reachable phone

    The traveler's mobile, switched on for the day, so the concierge can coordinate a delay or change.

  5. The vehicle at pickup

    Check the vehicle against the details Artisan emailed; if anything differs, call (888) 885-1296 before you get in.

Is my ride covered by insurance?

Request insurance details for the actual journey and its assigned operator before traveling. The relevant policy determines coverage and limits; a general service description cannot establish a particular insurance amount.

Can a ride be stopped for safety reasons?

The chauffeur may decline or end service for unsafe conditions or passenger misconduct under the terms. Misconduct that ends the ride does not qualify for a refund. If a child cannot be safely secured, the chauffeur may delay or decline travel until the restraint issue is resolved.

Can passengers smoke or vape in the vehicle?

Smoking, e-cigarettes and vaping are prohibited in service. The terms also prohibit illegal drug use and threatening or disruptive conduct.

Can a service animal ride with me?

Service animals are welcome. Tell the concierge about any boarding, mobility or other accessibility needs before accepting the arrangement so the vehicle requirements can be reviewed.

Can the car meet a private aircraft on the ramp?

Ramp collection requires the aviation facility's permission and a confirmed arrangement for the actual ground operator. Airport and FBO access rules govern that handoff. If aircraft-side entry is not authorized, use the passenger meeting point agreed with the facility and stated in your confirmation.
